Time management
The purpose of this solution is to enable simple, fast, and clear planning and tracking of absences, as well as an efficient business process for handling requests.
It covers:
Absence planning (annual leave, days off, training, conferences) and sick leave recording
Work time tracking
Importing data from external systems (check-in/check-out)
Preparation of data for payroll processing
It is important to note that during the implementation phase, the user can decide how time management will be operationally conducted. Synthetic work time data can be directly entered into the payroll module, but it can also be generated from this module.
The module also includes BPM (Business Process Management) for requests, approvals, reviews, and reporting related to annual leave, unpaid and paid leave, as well as requests and approvals for training, conferences, and similar activities.
Employees have access to their personal leave data:
Number of approved days
Number of used days
Number of remaining days
In a shared calendar, all annual leaves or other absences from the same organizational unit are displayed along with their status, allowing employees to coordinate their absence with the schedules of colleagues. The calendar view can be easily filtered by department and/or request status.
The solution allows simple, fast, and clear planning and tracking of absences, along with an efficient request processing workflow:
Easy entry of plans and submission of requests directly from a graphical calendar view
Automatic check of available days; it is not possible to schedule leave beyond available days
Requests, with all relevant information, are immediately sent to the task lists of responsible persons defined in the organizational structure
Participants are notified via e-mail about requests
After using annual leave, the system automatically calculates effective days and updates the remaining leave balance
Task Management
The recipient receives information about the task, responsibilities, and the progress of the task via e-mail
The task is then initiated, triggering a workflow with automatic notifications to participants
Authorization is required between workflow steps during task execution by responsible participants
If a workflow step is rejected, the task returns to the previous step with the option to provide a reason for rejection
Task and Workflow Tracking
Lists and graphical displays of active workflows and steps involving the logged-in user
Graphical view of the workflow progress and current status of each request
Recorded history of all activities is available for further analysis
Graphical Displays for Employees and Managers
Simplified administration of individual user data (employee – manager)
Overview of historical usage and all submitted requests
Automatic updating of the leave balance for each year
Printing of forms with the plan and overview of approved annual leaves
